When people think about what makes a great contractor, they usually think about quality work, staying on budget, and finishing on time. And while those things matter, there’s something that we believe shapes the client experience just as much, communication.

At Lloyd Construction Inc., we’ve seen firsthand how a lack of communication can erode trust, create stress, and turn an otherwise successful project into a frustrating experience for all parties. That’s why we’ve built a regular, structured communication process that keeps our clients informed at every stage of a project.

Here are three tools we use on every project to make sure you always know where things stand.

1. OAC (Owner-Architect-Contractor) Meetings

On any construction project, there are a lot of moving parts and a lot of people responsible for them. The Owner, the Architect, and the Contractor each bring a different perspective to the table, and when those three parties aren’t communicating regularly, things fall through the cracks.

That’s what OAC meetings are designed to prevent. These are standing meetings held throughout the life of a project that bring the key stakeholders together in one place, whether in person or virtually, to get aligned on where things stand and where they’re headed.

In a typical OAC meeting, we’ll walk through the current project schedule, discuss any open issues or pending decisions, review upcoming work, and flag anything that needs input from the owner or design team. These meetings create a consistent rhythm of communication and ensure that decisions get made in a timely way, rather than sitting unresolved and holding up progress.

For our clients, OAC meetings mean you have a regular, dedicated time to ask questions, raise concerns, and stay connected to your project, not just wait for updates to come to you.

2. Weekly Email Updates

Between OAC meetings, a lot happens on a job site. Work is progressing, subcontractors are coming and going, materials are being delivered, and decisions are being made in real time. We don’t think you should have to wait for the next scheduled meeting to know about it.

That’s why we send weekly email updates to our clients throughout the duration of a project. Every week, you’ll receive a summary of what was accomplished, what’s coming up in the week ahead, and any items we need your input or decision on.

It might sound simple, but this consistent touchpoint makes a big difference. In construction, silence can feel unsettling, when you’re not hearing anything, it’s easy to wonder whether things are on track. When many of our clients live somewhere else during their home build, weekly updates replace that uncertainty with confidence. You know that no matter what’s happening with the project, you’ll have a clear picture of it by the end of the week.

It also means small issues get surfaced quickly, before they have a chance to grow into bigger problems.

3. PSR (Project Status Report)

While weekly emails give you a regular narrative of how the project is progressing, the Project Status Report, or PSR, gives you the full picture in one place.

The PSR is a formal, detailed report that we distribute on a regular basis throughout the project. It covers the things that matter most to owners: where the budget stands, how the schedule is progressing, decisions that need to be made, information that needs to be tracked down and any outstanding issues that need to be resolved.

Think of it as your single source of truth for the project. Rather than piecing together information from emails, meeting notes, and conversations, you have one document that gives you a comprehensive, up-to-date snapshot of where things stand.
